Every week, well-meaning Workday consultants and administrators copy a broken XSLT snippet, a custom report CSV row, a Workday Query Language (WQL) payload, or a compensation eligibility rule out of a client's tenant and paste it into a personal browser chat tab to ask for help. When that tab is running a standard consumer AI subscription where model training is enabled by default or prompts are retained for weeks, that single paste can violate your client's Master Services Agreement (MSA) and data protection rules. Fixing this requires two architectural guarantees: keeping your Workday sign-ins and files on your own computer, and routing AI work through a zero-data-retention model service such as Kiweely Credits that stores nothing and trains on nothing.

What is really inside a "harmless" Workday snippet?

Nobody intends to leak confidential HR or financial data. Usually, a consultant tells themselves: "I'm only pasting a studio error log" or "I'm just asking why this calculated field is blank for one employee."

The problem is that Workday configuration and integration payloads are densely interwoven with sensitive enterprise context:

  1. Integration Event XML and RaaS Extracts: A 200-line snippet from a Get_Workers response, a PECI/PICOF payroll extract, or a custom Report-as-a-Service (RaaS) payload routinely contains employee IDs, legal names, national identifiers, base pay rates, cost center codes, and home addresses.
  2. Compensation and Bonus Condition Rules: Even when no individual employee name appears, a complex condition rule or matrix evaluation reveals executive bonus targets, regional pay grade boundaries, M&A project code names, or restructuring plans.
  3. Security Group and Supervisory Org Names: Domain security policies and supervisory organization trees map out a client's internal corporate structure, subsidiaries, and leadership positions.
  4. Cross-Client Prompt History: As we detail in our multi-client consultant's guide to zero data leakage, pasting snippets from Client A and Client B into the same personal AI account mixes both clients' proprietary naming conventions inside a single shared chat history and memory profile.

What each AI option actually does with the data you send

Whichever AI assists with your Workday work has to read the prompt and the relevant tenant context in order to answer your question. What separates a safe enterprise setup from a compliance incident is whether the AI provider retains your prompts and trains its models on them.

Here is the published reality across the AI plans consultants use today—the same side-by-side breakdown we maintain on our Kiweely Credits comparison:

The AI Option Trains AI Models on Your Work? How Long Your Work Is Kept What You Need
The AI OptionKiweely Credits (Recommended for client work)Trains AI Models on Your Work?Never. How Long Your Work Is KeptNever kept. AWS writes nothing to lasting storage, and kiweely saves and logs nothing. What You NeedNothing but kiweely (every new account starts with $5 of credits).
The AI OptionChatGPT Go, Plus or ProTrains AI Models on Your Work?Yes, by default, unless you explicitly turn off "Improve the model for everyone" in ChatGPT's Data controls. How Long Your Work Is KeptKept under OpenAI's consumer terms for your plan and conversation history. What You NeedYour own ChatGPT plan.
The AI OptionChatGPT Business, Enterprise or EduTrains AI Models on Your Work? Not by default. How Long Your Work Is KeptKept according to how your workspace's owner sets retention. What You NeedA seat in your firm's ChatGPT workspace.
The AI OptionClaude Pro or MaxTrains AI Models on Your Work?Only if you allow it in Claude's privacy settings (which also governs Claude Code). How Long Your Work Is KeptFive years if you allow training; 30 days if you do not. What You NeedYour own Claude plan.
The AI OptionClaude Team or EnterpriseTrains AI Models on Your Work? Not by default. How Long Your Work Is Kept30 days. What You NeedA seat in your firm's Claude plan.
The AI OptionAn OpenAI or Claude API KeyTrains AI Models on Your Work? Not by default. How Long Your Work Is KeptUp to 30 days (unless your organization has a separate zero-data-retention agreement with the provider). What You NeedAn API account, billed as you go.

Notice the two details that catch consultants off guard:

  • First, on a consumer ChatGPT Go, Plus, or Pro plan, model training is on unless you turn it off in Data controls.
  • Second, even when training is off—as on Claude Pro/Max (with training disabled), Claude Team, or a standard OpenAI or Claude API key—the provider still keeps prompts and outputs for up to 30 days for abuse monitoring and service operations unless a zero-data-retention arrangement is in place.

When a client's CISO or IT security team asks "Where does our Workday data go, and who stores a copy of it?", "It sits on a consumer AI server for 30 days" is a difficult answer to defend.

How kiweely protects client Workday data by design

We designed kiweely from day one so that a functional consultant, developer, or administrator can bring an AI agent directly into real Workday work while satisfying strict client security reviews. You can inspect every detail on our Security page and share our one-page Security summary for IT directly with your client's security team.

Here are the four pillars of how kiweely handles your data:

1. Your Workday sign-ins never leave your computer

kiweely is a desktop application running on your computer, not a cloud proxy that harvests your credentials. Your Workday passwords, session cookies, API client details, and your own AI keys are kept on your computer where your computer keeps its other passwords. Only your computer and Workday's own sign-in pages ever receive your Workday sign-in; neither kiweely nor any AI provider ever sees it.

2. Kiweely Credits: zero data retention and zero training

To give consultants an AI option that needs no separate AI account and leaves zero footprint in the cloud, we built Kiweely Credits.

When you choose Kiweely Credits beside Send in a conversation:

  • Your work runs on Amazon Bedrock in the United States, with zero data retention set on kiweely's AWS account.
  • AWS writes nothing to lasting storage and never uses your prompts, files, or Workday results to train any model.
  • As the request passes through kiweely's model service on its way to Amazon Bedrock, kiweely never saves, logs, or trains on your messages, files, or Workday results.
  • Conversation history and any files the agent creates (such as test reports, EIB spreadsheets, Studio projects, or Extend apps) are saved as ordinary files on your computer.

For consulting firms on a Team & Enterprise licence, Owners and Admins can buy one shared Kiweely Credits balance for the firm's space, set monthly limits per member, and make Kiweely Credits the only AI allowed in the firm's space—guaranteeing that no consultant accidentally uses a personal ChatGPT or Claude account on a client's tenant.

3. Strict client-pinned conversations

In kiweely, each client sits in its own place with its own conversations, projects, and documents. Every conversation is pinned to a single client's Workday sign-ins from the start: a turn in a conversation for Client A is never served credentials or tenant connections belonging to Client B. And for teams, the firm's work lives in the firm's own space on each computer, kept completely apart from personal work.

4. Nothing changes in Workday without your yes

Keeping data private is half of client trust; keeping the tenant safe is the other half. Because kiweely signs in with your own Workday account, Workday's own security domains govern what it can see and do. Before kiweely writes, changes, deploys, or launches anything in a tenant, it stops and shows you an approval card naming the client, the tenant, and the exact parameters. And there are four hard lines kiweely never crosses, even with Full Access turned on: it never installs an app in a tenant for the first time, never promotes anything to Production, never promotes a data model change from Implementation up without asking, and never turns on Full Access by itself.

Which AI choice fits which Workday tenant?

Because kiweely lets you choose the AI per conversation right beside Send, you can match the AI to the work in front of you:

  • For a client's or your company's Workday tenant: Choose Kiweely Credits. Worker records, pay, and tenant setup are never kept and never trained on, regardless of your personal AI account settings.
  • For your own Workday personal developer tenant: Use either Kiweely Credits or your own ChatGPT or Claude plan (with model training turned off in your provider's privacy settings) while building and testing on synthetic sample data.

Kiweely Personal is free for your Workday personal developer account and its tenant. Any other tenant needs a Personal licence, $99 a month, or a seat in your firm. Every new kiweely account starts with $5 of Kiweely Credits, and after that $1 buys 100 credits (from $10) that never expire. Read the full breakdown on Security and Kiweely Credits.
